Plain-language summary: this policy explains what information E-RON WA collects when you book or complete a remote online notarization, why it's collected, and how long certain records are legally required to be kept. It is not a substitute for legal advice.

Who we are

E-RON WA (Express Online Notary) is operated by Brian Stewart, a commissioned notary public and electronic records notary public in the State of Washington. This policy applies to eronwa.com and to the remote online notarization ("RON") services booked through it.

Information we collect

Depending on how you interact with the site and whether you complete a booking, E-RON WA may collect:

Booking and contact information — your name, email address, and any details you provide when scheduling an appointment through the site's booking widget.
Messages you send through site forms — your name, email address, phone number, and any details you provide through the contact, service request, or partner inquiry forms on this site, including firm or practice name if you submit the partner inquiry form. These forms are processed by Formspree, a third-party form-delivery service, and forwarded to E-RON WA by email.
Documents you send — the documents you email or upload for notarization, and information contained in them.
Identity verification data — images of your government-issued ID and the results of the credential analysis and knowledge-based identity verification ("KBA") completed through the notarization platform used for your session.
Session recordings — an audio-visual recording of the notarization session itself, as required by Washington State law.
Payment information — invoicing and payment for services is handled by third-party booking and payment processors; E-RON WA does not store your full card details.
Basic website usage data — standard technical information (such as browser type) collected via cookies from Google Ads and third-party tools embedded on this site, like the booking widget. See Cookies and tracking technologies below for details.

How we use your information

To schedule, confirm, and perform your notarization appointment.
To verify your identity as required by Washington notarial law before completing a notarial act.
To maintain the notarial records and journal entries a Washington notary is legally required to keep.
To communicate with you about your appointment, documents, or an invoice.
To respond to questions you send by email.

Who your information is shared with

E-RON WA does not sell your personal information. Information is shared only as needed to provide the service, including with the online scheduling platform used to manage bookings, the form-delivery service (Formspree) used to relay messages submitted through site forms, and the remote notarization platform used to host the live session, verify your identity, and record the appointment. Those platforms have their own privacy practices governing the data they process on E-RON WA's behalf.

Record and recording retention

Washington law requires an electronic records notary public to retain the audio-visual recording of each remote notarization for a minimum period after it is made — currently at least ten years, per RCW 42.45.280 — either directly or through a designated third-party repository. Notarial journal entries are retained on a similar basis. These records may be retained beyond a typical business record simply because state law requires it, not as a matter of preference.

Cookies and tracking technologies

This site groups its cookies into two categories. You can review or change your choice at any time using the Cookie Preferences link in the footer of any page.

Necessary (always on). Required for the site to work. This covers remembering your cookie preference itself, and the temporary session storage the partner booking page uses to remember that you've entered the correct passcode so you aren't asked again while browsing that page — this clears when you close your browser tab. Necessary cookies cannot be turned off.
Advertising (Google Ads) — optional. This site uses Google's tag (gtag.js) to measure whether visits from Google Ads lead to a booking or inquiry, and, if you allow it, to personalize ads. This is only active if you turn it on in the cookie notice or the Cookie Preferences control; leaving it off keeps this tracking disabled. You can also review or turn off personalized advertising at any time through Google's My Ad Center.

A few other services used on this site set their own cookies, outside of these two categories:

Booking widget cookies (TidyCal). The scheduling calendar embedded on the booking page is provided by TidyCal, a third-party service, and may set its own cookies to make scheduling work correctly. These are set by TidyCal, not by E-RON WA directly.
Form processing (Formspree). Messages submitted through this site's forms are processed by Formspree, which may log standard technical data (such as IP address) as part of delivering the message to E-RON WA.

You can also block or delete cookies at any time through your browser's settings, though doing so may affect how parts of this site — like the booking calendar — function.

Data security

Identity verification and session recording are handled by the notarization platform's secure systems, which are built to meet the requirements Washington State places on RON providers. E-RON WA takes reasonable steps to keep documents and correspondence you send by email confidential, but no method of electronic transmission or storage is ever completely secure.

Your choices

You can ask what information E-RON WA holds about you, or ask a question about this policy, at any time by emailing notary@eronwa.com. Because notarial records are kept under legal requirement rather than by choice, some records — such as the journal entry and session recording for a completed notarization — cannot be deleted on request during their required retention period.

Children's privacy

This site and its services are intended for adults seeking notarization services and are not directed to children under 13.

Changes to this policy

This policy may be updated from time to time to reflect changes in practice or in Washington State notarial law. The date at the top of this page reflects the most recent revision.
