Privacy Policy

Who we are

E-RON WA (Express Online Notary) provides remote online notarization (“RON”) in Washington State. Its notary is Brian Stewart, a commissioned notary public and electronic records notary public in the State of Washington (commission #179620). This policy applies to eronwa.com and to the notarizations booked through it.

Information we collect

Depending on how you use the site and whether you complete a booking, we may collect:

• Booking details. When you book online, the booking panel asks for every signer’s full legal name, email address and phone number, plus the booking type (how many signers and documents), the type of notarization, the time you choose, your time zone, and a record that you agreed to the Terms of Service and this policy.
• Partner bookings. On the partner booking page, the person booking gives their name, email address and phone number, and each signer’s name and email address, along with the time chosen.
• Messages you send through site forms. Your name, email address and question; on the partner form, also your firm or practice name, phone number (optional), practice type, estimated monthly volume, your message, and a record that you agreed to the Terms of Service and this policy. Phone numbers are used only to reach you about your request.
• Documents you send. The documents you email or upload for notarization and the information in them. Some documents, such as health care directives or powers of attorney, can contain health or financial information. That information is used only to perform your notarization.
• Identity verification data. Images of your government-issued ID and the results of the credential analysis and knowledge-based identity verification (“KBA”) completed through the notarization platform used for your session.
• Session recordings. An audio-visual recording of the notarization session, as Washington law requires.
• Payment information. The $10 booking fee is paid on Stripe’s checkout page. If a promo code covers the booking fee, no payment is taken and nothing is sent to Stripe. Your card details go to Stripe, never to E-RON WA. Stripe tells us whether the payment went through and gives us its reference, which we need to refund the fee where the Terms of Service say so. The notarial fee is invoiced after the session, and its payment is handled by the notarization platform’s payment processor. E-RON WA never sees or stores your full card number.
• Technical data. The standard information any website receives (such as IP address and browser type), handled by our hosting and security service, and the cookies and browser storage described under Cookies and browser storage.

How an online booking is handled

We use these details only to book and carry out your notarization. We never sell them or use them for marketing. When you book through the booking panel on the home page, this is where they go:

1. In your browser. When you go to Stripe’s page to pay, the panel keeps your answers in that browser tab (session storage), so they are still there if you come back. They are removed once your booking is made, or when you close the tab.
2. By email to E-RON WA. When you choose to pay and book, the booking details (every signer’s name, email address and phone number, plus the booking type and time) are sent to us by email through Formspree.
3. Held briefly by our host. The same details are held in Cloudflare’s storage (Workers KV) for up to 3 days, to complete the booking once the fee is paid. As soon as the booking is made, or the fee is refunded, the names, email addresses and phone numbers are removed from it.
4. Payment on Stripe. You pay the $10 booking fee on Stripe’s checkout page. If a promo code covers the booking fee, no payment is taken and nothing is sent to Stripe. Stripe receives the first signer’s email address and the booking type from us, and your card details from you. Card details go to Stripe, never to E-RON WA. Stripe’s privacy policy applies on its page.
5. The booking in TidyCal. Once Stripe confirms the payment, the booking is created in TidyCal, our scheduling service, with the first signer’s name, email address, phone number and time zone, every signer’s name, and the answers TidyCal asks for, such as the type of notarization. Signers 2 and up are added to the booking as guests, so each of them gets the booking emails.
6. The session invitation. The notarization platform uses the signers’ names and email addresses to send each signer the invitation to the video session.

A booking made on the partner booking page has no fee and doesn’t go through Stripe: the details are sent through our server straight to TidyCal to make the booking.

How we use your information

• To answer your questions, and to quote, schedule, confirm and perform your appointment.
• To take the booking fee, and to refund it where the Terms of Service say so.
• To verify your identity, as Washington notarial law requires before a notarial act is completed.
• To keep the notarial journal and session recording a Washington notary is legally required to keep.
• To invoice and collect payment, and to keep tax and business records.
• With your permission only, to measure whether Google Ads lead to bookings.

E-RON WA does not sell your personal information, does not share it for targeted advertising without your opt-in, and never uses the contents of your documents for advertising.

Who your information goes to

Information goes only to the services needed to run the site and provide the notarization:

• Cloudflare hosts the site, protects it from attacks, and holds booking details for up to 3 days while a booking is completed.
• Formspree delivers messages and booking details sent through the site to us by email.
• Apple iCloud Mail is the email service for notary@eronwa.com.
• Anthropic provides the AI assistants used by the notary. It receives the text of messages sent to notary@eronwa.com.
• Stripe runs the checkout page for the $10 booking fee and handles any refund of it.
• TidyCal is our scheduling service: it holds our open times and the bookings, and sends the booking emails.
• The remote notarization platform sends the session invitations, hosts the live session, verifies your identity, takes payment of the invoice where applicable, and stores the session recording.
• Google, only if you allow advertising cookies, to measure ad performance.

Each of these services has its own privacy practices for the data it handles. Information may also be disclosed when the law requires it, such as a subpoena or a request from the Washington State Department of Licensing to inspect notarial records.

Cookies and browser storage

The table below lists every cookie and browser storage item the site uses, as checked on October 31, 2026. You can change your advertising choice at any time with Cookie preferences in the footer of any page.

• Advertising is off until you turn it on. Until then, Google’s tag is not loaded at all, so nothing is sent to Google. If your browser sends a Global Privacy Control signal, the site treats it as a “no” to advertising and does not ask. You can review Google’s ad settings at Google’s My Ad Center.
• Nothing from TidyCal or Stripe loads on our pages. Our booking calendar is built into this site rather than embedded from TidyCal, so TidyCal’s own cookies don’t apply here. Stripe’s cookies apply on Stripe’s checkout page, under Stripe’s privacy policy.
• The site’s font is served from our own host, so no font service is contacted when a page loads.
• Formspree logs standard technical data (such as IP address) when it delivers a message, to prevent spam.

You can also block or delete cookies and browser storage in your browser settings, though the booking panel and the partner booking page may not work without them.

How long information is kept

Required notarial records cannot be deleted on request during their retention period, because the law requires them to be kept. They are destroyed securely once that period ends.

Data security

• The site is served only over encrypted HTTPS connections.
• Identity verification and session recordings are handled by the notarization platform’s secure systems, which must meet the standards Washington sets for RON providers.
• Access to client records is limited to the notary. AI assistants used by the notary help read and answer messages sent to notary@eronwa.com, so the text of those messages is processed by the AI service, Anthropic. They are not permitted to open attachments or documents you upload.
• If a breach of security exposes your personal information, you will be notified without unreasonable delay and within 30 days of discovery, as RCW 19.255.010 requires.

No method of electronic transmission or storage is completely secure. Please avoid emailing documents with information the notarization does not need, such as full account numbers.

Marketing emails and texts

E-RON WA does not send marketing emails, newsletters or marketing text messages. You will only receive messages about your own request or appointment. If that ever changes, marketing will go only to people who opt in, every message will include a working unsubscribe and a postal address as the federal CAN-SPAM Act requires, and no commercial text message will be sent without your prior consent, as Washington’s Commercial Electronic Mail Act (RCW 19.190) requires.

Your choices

You can ask to see, correct or delete the information E-RON WA holds about you by emailing notary@eronwa.com. Records the law requires a notary to keep, such as the journal entry and session recording for a completed notarization, cannot be deleted during their retention period, but you will be told what is held and why. You can change your advertising cookie choice at any time with Cookie preferences in the footer, and a Global Privacy Control signal is honored as described above.

Children’s privacy

This site and its services are for adults seeking notarization and are not directed to children under 13.

Changes to this policy

This policy may be updated to reflect changes in practice or in Washington law. The date at the top of this page shows the latest revision. If a change affects how your information is used, the new version applies only from that date.
